Why We Have a Cancellation & Deposit Policy

As a forensic toxicologist, Dr Robertson is often required to block out substantial time for court appearances, report preparation, and case review. These bookings often mean declining other work and preparing in advance based on tight legal timelines.

 

To ensure fairness to all clients, and to protect the significant time commitment involved, we have implemented a cancellation and deposit policy. This is standard practice across the legal and expert witness industry.

 

Short-notice cancellations or adjournments can result in lost time and unrecoverable income. By confirming your booking with a deposit, you secure Dr Robertson’s availability for your matter, and enable appropriate allocation of time and resources.

Deposit & Full Payment Requirement

  • A 50% deposit is required to confirm and secure any court booking.

  • The remaining 50% balance must be paid no later than 7 business days prior to the scheduled court date.

  • For last minute bookings made within 7 days of the court date, full payment is required upfront to confirm the booking.

  • No bookings are considered confirmed until the appropriate payment has been received. Where multiple requests are received for the same date, priority will be given to the first confirmed payment.

Cancellation & Rescheduling

  • More than 14 days’ notice: No cancellation fee. The deposit may be refunded or held as credit for future bookings upon request.

  • 7 to 14 days’ notice: A cancellation fee equal to the 50% deposit applies. This deposit will be retained and is non-refundable.

  • Less than 7 days’ notice: A 100% cancellation fee applies. As full payment is required within 7 days of the scheduled court date, the total amount will be payable in full and is non-refundable.
    This fee includes any preparation time, file review, or report writing already undertaken.

Adjournments or Date Changes

Adjournments or rescheduling requests made with less than 14 days’ notice will be treated as cancellations unless a new confirmed date is provided at the time of notice and subject to availability. If the new date cannot be confirmed immediately, the original cancellation terms apply.

Urgent / Same-Week Bookings

For court bookings requested within 7 days of the scheduled appearance:

  • Full payment is required upfront at the time of confirmation.

  • A 15% surcharge may apply due to the short notice and scheduling demands.

  • These bookings are non-refundable once confirmed.

We encourage legal professionals to book early where possible to allow sufficient preparation time and secure availability.

Invoicing & Payment Terms

  • Standard invoicing terms are 7 days from issue, unless the court date falls sooner.

  • Bookings made within 7 days of the scheduled court appearance are considered urgent and must be paid in full upfront to confirm.

  • If payment is not received by the required date, the booking may be forfeited, and availability is not guaranteed.
